Keeping your club in good standing

The paperwork that comes round each year, who looks after it and when it is due. renuzy reminds the owner from 30 days ahead, on the day, and after it until it is marked done.

Small clubs lose their tax exempt status or their state registration by missing a form, not by doing anything wrong. Good standing keeps the list in one place, so it survives a change of officers.

Setting it up

  1. Go to Good standing, under More on a phone.
  2. Tick what your club keeps track of: the IRS e-Postcard (Form 990-N), your state's annual or periodic report, a state charity registration if your club has one, insurance, the annual meeting and elections, when officer terms end, and updating the bank signers after officers change.
  3. Fill in what renuzy needs to work out the dates: when your fiscal year ends, your state and the month your report is due, your insurance renewal date, the month of your annual meeting and the day officer terms end.
  4. Press Save and start. You can change any item later, give it to an officer, switch it off, or add your own, such as a park permit.

The calendar

Press Calendar at the top to see the year ahead month by month: every date your paperwork falls on, overdue items in red, and votes opening and closing.

Each item

Every item shows its status: Overdue, Due soon (in the next 30 days), Done or Coming up. Open What this is and where to file for plain guidance and the official page, such as the IRS page for the e-Postcard or the directory of state offices.

When it is filed, press Mark done. Add a note, like a confirmation number, and a link to the filed copy, so the next officer can find it. A yearly item moves to next year's date by itself. Marked done by mistake? Open the item and press Not done after all.

Reminders and alerts

renuzy emails the item's owner 30, 14 and 7 days before, the day before and on the day. If it is not marked done, it emails again 3, 7, 14 and 30 days late, then every 30 days until 120 days late. Each goes once for each due date, between 9am and 6pm your club's time, and they stop the moment the item is marked done. With no owner set, the club's owner and treasurer get them. To switch any of them off, open Reminders at the foot of the page, untick it and press Save the reminders. When a date passes without the item being marked done, it shows as an alert on your Home page. Change that on Alerts.

renuzy does not give legal or tax advice. It says what each thing is and where it is filed. Check the official page, or your accountant, for what your club needs to file and when.

The list shows how many items are overdue, due soon, coming up and done in one bar, then every item in date order. The calendar view has a strip of every coming date, a chart of dates per month and the month grids.
