Setting up and handing over
Setting up from your bylaws
Paste or upload your bylaws and renuzy proposes your dues, renewal date, grace period, fiscal year, officers and quorum. You check each one before anything is saved.
Setting up your club
Eight steps, in order. Three are needed before members can join and pay; the rest make it yours.
The tour for new treasurers
Eleven short stops through the treasurer’s pages, with a link to open each one.
Adding another officer
Give a treasurer, a membership volunteer, a board member or another owner their own sign in. Each role sees only what it needs.
Help for this page
Press Need help? at the top of any page. It lists the help for the page you are on, with Show me where there is a walkthrough.
Handing over to a new treasurer
Hand the books to a new treasurer step by step: their invitation, the handover pack, Stripe, the bank, where replies go, the plan card and access.
What renuzy needs, and why
Every piece of information renuzy asks for: what it is, why it is needed, and what it is used for.

Members
Adding a member
Their first and last name, and their email. Add their household on separate lines, and record their payment in the same step.
Households
One person pays and everyone in the household is a member. Each person still has their own record and card.
Your data check
What is missing from member records that would stop reminders, receipts and automatic emails, and who it affects.
When someone cannot sign in
A member whose email changed asks the club; an officer checks it is them, then updates it.
Your member list
Everyone on your list in one place. Sort by any column, filter by status or renewal date, and download exactly what you see.
A member’s record
Everything about one member: their details, household, payments, events they came to, and every email renuzy sent them.
Importing your member list
Upload any spreadsheet. renuzy matches the columns, shows you what it found, and changes nothing until you say so.
The members directory
A list members can see of each other, if your club switches it on. Each member chooses whether they appear.
The suggestion box
Members send the club an idea from their page, with their name or without. You mark each one and can reply to a named member once.
Feedback forms
Short forms renuzy sends the day after a shift, event or meeting, a month after joining, or when someone leaves.
Keep members: rescue notes
Each week renuzy drafts a short personal note to members who may not renew. You edit and send it, call them instead, or put it aside.
Approving new members
If your club approves each new member before they pay, applications wait for you. Approve sends a welcome with their link to pay; Decline sends a polite note.
Printing membership cards
Print one member’s card, or a sheet of cards for everyone, on plain paper or card stock. Wallet size, eight to a page.
Moving from another membership tool
Upload an export from Mailchimp, Join It, WildApricot, ClubExpress or MembershipWorks, or paste a Google Sheets link.

Dues, payments and giving
Recording a check or cash
When money reaches you outside renuzy, record it on the member. It counts the moment you save it.
Payment claims
A member says they paid another way, such as a check in the post. Nothing counts until you approve it.
Extra giving
Members can add a gift when they pay their dues, or give on its own. Each gift gets a receipt, and each donor a statement in January.
Gift funds
Name the funds a donor can choose, such as Scholarship or Building. A gift with no fund is General.
Gift receipts
Every gift gets an email receipt with the amount and date. For a 501(c)(3), the receipt carries the lines the IRS asks for.
Year end giving statements
In January renuzy prepares one statement per donor for the year before. An officer checks the list and approves; then each goes out once.
Ways to pay
Pay what you can, paying in parts, discount codes and automatic renewal. Every payment still counts as dues the usual way.
Pay what you can
The option’s price becomes a suggestion, and you set the least a member may choose, which can be zero.
Paying in parts
Let members pay a yearly option in 2, 3, 4 or 12 parts. They stay in good standing while the parts are on time.
Discount codes
A code members type when joining or renewing, for a percent or an amount off, with an expiry and a use limit if you want.
Automatic renewal
Members can choose to renew by card automatically. Only they can turn it on; they are told before each charge and can turn it off in one tap, with no login.
Taking dues online
Connect your club's own Stripe account and members can pay by card. The money goes straight to the club, and renuzy never holds it.

Events, meetings and volunteers
Door mode
Turns any phone into the check in desk: scan cards, tap names, take dues, count guests.
Meetings
A page for each meeting: who came, the agenda, notes, action items and the recording. Then a short summary for members.
Events
Add a meeting or event with its time and place. Members see it on their page, can say they are coming, and get checked in at the door.
Quorum at a meeting
Mark a meeting as a board or members meeting and renuzy counts who is here against the quorum in your bylaws, then writes it into the minutes.
Tickets for events
Sell tickets with a member price and a non member price, free tickets, limits and sales dates. Paid online to your club’s Stripe, or at the door.
Volunteer shifts and hours
Add shifts, let members sign up, remind them the day before, and log hours when you say who came.
Members checking themselves in
Print a QR poster for the door. Members scan it, tap I'm here, and it counts as attendance.
Calendar subscriptions
Your events in anyone's Google, Apple or Outlook calendar, kept up to date by itself. Members get a private one with more in it.
Online meeting links
Paste a Zoom, Google Meet or Teams link on a meeting or event. Members see it with the event and in its emails.

Emails and the newsletter
Emailing a group
Write once and send to current members, everyone, lapsed members, people who never joined, or members past due.
The monthly newsletter
renuzy writes a draft of your newsletter each month from your events, meetings, new members and dues. You read it and send it.
Changing what your emails say
Pick any email renuzy sends for your club from the list and change the words. The list is fixed, so reminders keep working.
Automatic emails
The renewal reminders are on for every club. Switch on welcome, finish joining, win back and event reminder emails too. Each goes once and stops when the person acts.
Emailing one member
Find the person by name, then write to them from their page. It goes from your club, and replies come to you.

Reports and accounting
Your Home page
Your club at a glance: money in, money owed, who is active, and what needs you today.
Club health score
An average of three things: members kept, members who came to an event this year, and members with a working email.
Alerts
Choose what you want to hear about and where. renuzy checks each morning and tells you once.
The board report
Pick any month, quarter or year. It opens with what to tell the board and ends with what needs their attention.
For your accountant
Add your accountant once and they get the report, every payment and the totals by email: when you send it, monthly, quarterly or yearly.
Who gets reports
Board members and others who should get the monthly report or meeting summaries, without needing a login.
Closing the month
On the 1st renuzy lines up last month’s payments against what it can check. You look over anything flagged, note your deposits, and close the month.
Files for QuickBooks and Xero
Pick a month, quarter or year and download the file your books take. Dues, gifts, tickets and sales each go to their own account.
Your chart of accounts in renuzy
Tell renuzy the name of the account in your books for each kind of money. Type the names exactly as your books spell them.
Stripe payouts and fees
Copy each Stripe payout in: the day it reached the bank, the amount, and the fees. Then the fees and the payout land in your books too.
Importing into QuickBooks Online
Step by step: the journal file through Import data, or the bank file through Bank transactions. Use one, not both.
Importing into QuickBooks Desktop
Back up your company file, then File, Utilities, Import, IIF Files. renuzy adds any missing account with the right type.
Importing into Xero
The manual journal file through Manual journals, Import; or the bank statement through Import a statement. Add account codes first.

Good standing and votes
Keeping your club in good standing
The paperwork that comes round each year, who looks after it and when it is due. renuzy reminds the owner from 30 days ahead, on the day, and after it until it is marked done.
Elections and member votes
Run a board election or put a question to members. Secret ballots by email and on the member page, with turnout, quorum and results.

Your renuzy plan
Your free trial and adding a card
A new club is free for two months, with no card. Add a card any time; nothing is charged until the trial ends.
Your renuzy plan at renewal
Before each yearly charge we write to you. If your club has grown past its plan, we write first with the new price: 30 days ahead on yearly, or with the bill a month before on monthly. It only changes if you are still over on the day.

Federations and state dues
Dues to state and national bodies
If your club pays its federation a set amount for each member, renuzy counts your members, works out what is owed, gives you the report and reminds you before it is due.
Asking your chapters for reports, forms and files
Ask every chapter for an officer list, an annual report, an insurance certificate, a form, a file or a short answer, with a due date. renuzy chases it on the same days as your dues, chapter by chapter.
Who collects the dues, and paying your federation online
Each chapter collects on its own Stripe account, on its federation's, or a mix, and a chapter can pay its federation what it owes online. Nothing changes until the federation offers it and the chapter accepts.
Paying for your chapters on one bill
A parent body can pay renuzy for its chapters on one bill, or let each chapter pay for itself. One bill prices all the chosen chapters' members together, plus a set price for each of the first 100 chapters, with 10% off when every chapter is on it.

Sell things online: plant sales, shirts, raffle tickets
Make a page for a sale: items with prices, how many you have, sizes, pickup or delivery. People pay on Stripe into your club’s own account, the same as tickets.
Webhooks
renuzy tells another tool the moment something happens: a member joins, pays, lapses, buys a ticket. Only an owner can add one.
API keys and Zapier
A key lets Zapier or another tool add members, send in payments for an officer to approve, and switch webhooks on for itself.
