Files for QuickBooks and Xero
Pick a month, quarter or year and download the file your books take. Dues, gifts, tickets and sales each go to their own account.
Go to Accounting. Choose a period at the top: a month, a quarter, a year, or a month you closed in Close the month. The band under it says whether the month is closed. The tiles show each side of the books, and the Stripe payouts you added with their fees. The ring shows whether debits equal credits. The bars show what went to each income account. Then download the file for your software:
- QuickBooks Online: a journal file (one entry for each day that had money) or a bank file (one line for each payment). Use one or the other, not both, or the money is counted twice.
- QuickBooks Desktop: one IIF file.
- Xero: a manual journal file or a bank statement file. Again, one or the other.
- Any accountant: the general ledger lists every item with both sides, and the trial balance gives each account's totals.
Every journal balances: the money in equals the money out, to the cent. Amounts are worked out in whole cents, so nothing is rounded. Dates are month first (10/03/2026) for a club in the United States and day first everywhere else; the general ledger uses 2026-10-03, which every program reads.
What is in the files. Dues paid, gifts, ticket sales, refunds and payments returned by the bank, Stripe payouts and fees you add, and cash and check deposits you noted in the monthly close. Expenses are not in renuzy, so they stay in your books as they are now.
A good habit. Close the month first, then download its file. A closed month's file does not change unless you reopen the month.
The files can also go to your accountant with the accountant's pack, attached or as links. Choose that at the bottom of the Accounting page.
