Importing into QuickBooks Online
Step by step: the journal file through Import data, or the bank file through Bank transactions. Use one, not both.
Before the first import, check Accounting in renuzy: each account name must match one in QuickBooks exactly. Use either the journal file or the bank file, never both for the same month.
The journal file (recommended)
- In renuzy, go to Accounting, choose the month, and download QuickBooks Online: journal entries. It saves as a file ending in .csv.
- In QuickBooks Online, click the gear at the top right, then Import data.
- Click Journal entries.
- Click Browse and choose the file you downloaded. Click Next.
- QuickBooks shows how it read the columns. Check that Journal No, Journal Date, Account, Debits, Credits and Description are matched, and that the date format is month, then day, then year. Click Next.
- If QuickBooks says an account was not found, the name in renuzy does not match. Fix the name in renuzy, download again, and start over.
- Click Import. Each day with money becomes one journal entry, numbered like RZ-20261003.
The bank file
This puts each payment in QuickBooks as a bank line for you to sort, which suits a treasurer who likes to see every payment.
- In QuickBooks Online, make an account to upload into: gear, Chart of accounts, New, type Bank, and name it, for example renuzy clearing. QuickBooks does not allow uploads into Undeposited Funds itself.
- In renuzy, change Money not yet in the bank to that same name, and download QuickBooks Online: bank transactions.
- In QuickBooks Online, go to Transactions, then Bank transactions. Click the arrow beside Link account and choose Upload from file.
- Choose the file, pick the renuzy clearing account, and click Next.
- Match the columns: Date, Description, and Amount as one column. Choose the date format month, day, year. Click Next, then Yes.
- The lines wait in For review. Add each to the right account, or make a bank rule: for example, description contains Dues, goes to Dues Income, contains Gift, goes to Donations, contains Tickets, goes to Event Income.
