What renuzy needs, and why

Every piece of information renuzy asks for: what it is, why it is needed, and what it is used for.

Two things tell members apart: a full name and their email. With those, renuzy can do everything else, and the data check tells you which members are missing what.

For each member

First and last name Needed

What it is: The member's full name, as the club knows them.

Why it is needed: A full name is one of the two things that tell members apart, so two Susans are never mixed up.

What it is used for: Their card, every email greeting, the member list, check in at the door and reports.

Email address Needed for reminders and renewals

What it is: Where renuzy writes to them.

Why it is needed: It is the second thing that tells members apart, and the only way renuzy reaches them on its own.

What it is used for: Renewal reminders, receipts, their membership card, signing in with no password, and club emails.

Phone Optional

What it is: A number for the club's records, so an officer can call them.

Why it is needed: It helps tell members apart, and helps find a member whose email changed.

What it is used for: Telling members apart, matching duplicates, and officers calling someone. renuzy does not send texts yet.

Renewal date Needed for reminders and renewals

What it is: The date their membership runs to, or their last payment.

Why it is needed: Without it renuzy cannot tell whether they are paid up or when to remind them.

What it is used for: Paid up, due or lapsed on every screen, the reminders before and after it is due, and money owed on your Home page.

Membership type Worth having

What it is: What they are, such as Individual, Household or Student.

Why it is needed: It sets what they owe. Anyone not marked as something else counts as an individual.

What it is used for: The price in reminders and online renewal, and the breakdown by type in reports.

Member since Worth having

What it is: When they first joined. A rough year is fine.

Why it is needed: It is how long they have been part of the club.

What it is used for: Years of membership, the welcome email, and the members kept and retention charts.

Mailing address Optional

What it is: Their postal address.

Why it is needed: Only needed for members who want letters by post.

What it is used for: Letters by post and the member export for mailings.

Household Optional

What it is: Others who share one payment, such as a couple or family.

Why it is needed: One person pays and everyone in the household is covered.

What it is used for: Covering the whole household when the payer pays, while each person keeps their own card and check in.

For the club

Club name Needed

What it is: What your club is called.

Why it is needed: Members need to know who is writing to them.

What it is used for: Every email to members, the join page, member cards and reports.

Your email Needed

What it is: The owner who signs in, with no password.

Why it is needed: It is how you sign in and how renuzy reaches the club.

What it is used for: Signing in, account emails, the monthly report and alerts.

When dues are due Needed

What it is: Whether everyone renews on one date, or twelve months after each person joined.

Why it is needed: Every reminder and renewal date counts from it.

What it is used for: Renewal dates for new members, reminders, and the coming up forecast.

Membership options and prices Needed

What it is: What someone can be, and what it costs. An honorary option at $0 is fine.

Why it is needed: The join page needs at least one, and reminders need a price.

What it is used for: The join page, online renewal, reminders and reports by type.

Online payments (Stripe) Needed

What it is: The club's own Stripe account.

Why it is needed: It is how members pay by card. The money goes straight to the club, never through renuzy.

What it is used for: Joining and renewing online. Without it members pay by check, cash or transfer.

Club postal address Worth having

What it is: The club's mailing address, such as a PO box.

Why it is needed: US law on bulk email asks for one in any email to people who are not current members.

What it is used for: Win back emails, finish joining nudges, and emails to everyone on the list.

Reply address Worth having

What it is: A shared club email, such as treasurer@.

Why it is needed: Replies keep going to the right place when the treasurer changes.

What it is used for: Where members land when they reply to any club email.

Logo and colour Optional

What it is: Your club's logo and main colour.

Why it is needed: Members see your club, not renuzy.

What it is used for: The join page, member cards, the member pages and club emails.

A second owner Worth having

What it is: Another officer, such as the president, with full access.

Why it is needed: If one person leaves or loses their email, the other can let them back in.

What it is used for: Keeping the club from ever being locked out.
