Automatic emails
The renewal reminders go by themselves, from 30 days before a member's dues are due until your grace period ends, and stop when they pay. To switch on other automatic emails, go to Email, press Your automatic emails, pick one and switch it on.
- Go to Email and press Your automatic emails.
- Pick Renewal reminder from the list, under Sent when needed.
- Check it says On. If it says Off, press it to switch the reminders back on.
- Under The renewal reminders, untick any step you do not want and press Save the steps. Every step is ticked to begin with.
- Pick an email from one of the groups at the top of the list, such as Welcome new members.
- Press Off: switch it on.
- Change the words if you like, and press Save wording.
Each email in a group goes to a person once, and the group stops as soon as they act, so nobody gets a win back email after renewing.
If something goes wrong
It says Chosen: switches on with a plan
Automatic emails write to your members, so they start once you pick a plan. They switch on by themselves the moment a card is added.
The switch is grey
That email writes to people who are not current members, so it needs your club's postal address first. Add it on Club page.
Nobody is getting renewal reminders
Check the renewal reminder says On. Each member also needs an email that works and a renewal date. Data check lists anyone missing one.
Good to know
- A member who pays by hand is reminded 30, 14 and 7 days before their dues are due, the day before and on the day, then 3, 7 and 14 days after and with a last notice on the day the grace period ends. Only the steps inside your grace period go.
- A member on auto renew with a saved card is never asked to pay. On a yearly or quarterly renewal they get one heads up a week before the card is charged. If the card fails for good, they get the reminders from that day.
- Each reminder step goes once per term, never two on one day, between 9am and 6pm your time. A member added late gets only the step due now. The other automatic emails go at 10 in the morning in your club's time.
- People who opted out or whose email bounced are never written to.
- Emails to people who are not current members carry a stop link.
- To change only the words, see changing what your emails say.
Questions people ask
Can I change when an email goes?
For the emails in a group, yes. Pick the email, choose when it goes under This email, and press Save. The renewal reminders go on fixed days, and you can untick any step you do not want.
Why did a member get a reminder after they paid?
They should not. The reminders stop as soon as a payment is recorded or one is on its way. If they paid by check or cash, record it, or approve their claim, and nothing more goes.
