Recording a check or cash
To record a check or cash, open the member from Members, fill in Record a payment and press Record it.
- Go to Members and press the name of the person who paid.
- Under Record a payment, check the amount. It fills in with their dues.
- Choose how they paid, such as Check or Cash.
- Check the dates it covers. They follow on from what they have already paid for.
- For a check, type the check number under Reference.
- Leave Email them a receipt ticked and press Record it.
They are paid up from that moment, their renewal date moves on, and they get a receipt by email. The payment shows on your Home page and in your reports.
If something goes wrong
I typed the wrong amount
In their payment history, press Recorded by mistake on that payment, then record it again with the right amount.
The check bounced
Press Check bounced on that payment. Their dates go back to what they were and your reports take the money off.
I cannot see Record a payment
Only an owner or the treasurer records money. Ask your treasurer, or ask an owner to change your role on Handover.
They paid for two years
Type the full amount and change Covers to to the end of the second year.
Good to know
- A check with no number is flagged on your reports, because an accountant will ask about it.
- Comped records no money, whatever the amount says.
- A member who says they paid another way shows under Payment claims. Nothing counts until you approve it.
- Every payment keeps who recorded it and when.
