Automatic renewal
Members can choose to renew by card automatically. Only they can turn it on; they are told before each charge and can turn it off in one tap, with no login.
Switch it on in Ways to pay. Members then see a separate box at checkout, unticked, that states the price, how often, the renewal date and how to cancel. Only a member who ticks it is put on automatic renewal. Their payments page has the same box and a Turn it on button that saves a card without charging anything.
- renuzy keeps a record of what each member agreed to: the words they saw, when, the price and how often. It is kept at least 3 years, or 1 year after they turn it off if that is later.
- They get an email to keep when it starts, and a confirmation when it is turned off.
- Before each renewal: emails 35 days and 14 days before for a yearly membership, 28 days for quarterly, and for monthly a short reminder 3 days before each charge plus a fuller notice once a year, 35 days before the anniversary. Every receipt repeats the terms. If a notice could only go late, the charge waits so the member always has the full notice.
- Every one of these emails has a link to turn it off with no login. Opening the link changes nothing; the member presses one button.
- If you raise the dues, members on automatic renewal are emailed 28 days before the higher charge and asked whether to keep it at the new price. Anyone who does not say yes is not charged: automatic renewal turns off and they renew by hand.
- The card is kept by Stripe on your club's own account. renuzy never sees the number. A declined card is a failed payment: nothing moves, the member is emailed a link to pay, and renuzy tries once more three days later.
- Members on automatic renewal never get a please renew reminder. A yearly or quarterly member also gets one short heads up a week before the card is charged, saying the amount and the day. If the second try fails too, or the card cannot be charged again, they get the ordinary renewal reminders from that day until the grace period ends.
Officers see everyone on automatic renewal in Ways to pay and can turn it off for a member, never on. These rules follow the strictest state laws renuzy found; they are being checked by renuzy's advisor, and this is not legal advice.
